Who this checklist is for
I'm the office administrator for a 250-person company. When I took over purchasing in 2021, I started managing breakroom appliances and facilities orders in our main office. The annual spend is roughly $90,000 across several vendors. I report to operations and finance, so I care as much about the cost of the unit as the cost of dealing with the unit later.
This is not a replacement for the manual. I'm not an electrician or an HVAC tech. I'm a buyer who has made and seen enough mistakes to know which part of the process to slow down on.
The 6-step checklist I actually use
1. Check the electrical and water connections before the box arrives
The first mistake I made in this job was assuming the existing outlet, breaker, and water supply were fine because they worked for the old appliance. Sometimes that's true. Other times you're setting up in a room that was never designed for the new load.
For an electric stove install, do not just search for 'what size wire for an electric stove' and hand the answer to a contractor. Use it as a starting point. In most 40-amp range circuits, 8 AWG copper wire is used; larger 50-amp units generally require 6 AWG copper. Both should be on a dedicated circuit. The appliance nameplate and local code are the final answer. I ask the electrician to verify before I place the order, not after the delivery truck arrives.
If the new appliance is a washer or cooler, water is the second check. A front-load washer needs a standpipe or approved drain connection, not a hose dropped into a sink. Evaporative coolers need a refill method. Dehumidifiers need a place for the water to go or a realistic schedule for emptying the bucket.
2. Set up the Hisense compact refrigerator 4.4 like a full-size refrigerator
We bought a Hisense compact refrigerator 4.4 cu. ft. for a staff breakroom. It is a compact fridge, so it is tempting to treat it like a plug-in cooler. It is still a sealed system with a compressor, and it needs the same basics as a full-size unit.
Wait two or three hours after moving it before plugging it in if the unit was not kept fully upright. Keep it level. I used a level on ours. Some people skip this on a small fridge, but a box that is off by even a quarter-inch can make the compressor work harder and create condensation where the door gasket does not meet the frame.
The counterintuitive part is that most compact fridges do not die from bad parts. They die from bad airflow and bad leveling. Leave some clearance around the back and sides. Do not plug a refrigerator into a power strip or an extension cord. Use a wall outlet. Then set the temperature and check it with a thermometer instead of trusting the dial. Food-safety guidance says to keep a refrigerator below 40°F.

A Hisense dehumidifier is not complicated, but the 'how to use' part has more to do with placement and drainage than with pressing buttons. Give the back and sides room to breathe. The manual will tell you the exact clearance, but it is usually more than people expect.
Set the target humidity somewhere between 45% and 50% when you are managing a damp office or storage space. The EPA recommends keeping indoor humidity in the 30-50% range, so 45% gives you a practical buffer. If the area is very humid, do not set the unit to its lowest setting just because you can. It will run longer and use more energy than needed.
The bucket will fill quickly in a humid space. If the model has a continuous drain option, use it and route the hose so it drains downhill without kinks. When I used a drain hose for the first time, I planned to secure it later. The hose moved, and the water ended up on the floor. I knew I should have tested it for a full night. I thought 'what are the odds?' That was the one time it mattered. Now I make the hose test part of setup and put filter cleaning on the shared maintenance calendar.
Clean the air filter every few weeks, especially if the dehumidifier runs every day. A clogged filter makes the unit work harder and can lead to frost buildup inside the machine.
4. When a front load washer detergent dispenser problem shows up, fix the soap amount first
A front load washer detergent dispenser problem usually means water is pooling in the drawer after a cycle, or fabric softener is not being pulled into the wash. Those issues are annoying, but they are not necessarily an expensive pump failure.
High-efficiency washers use much less detergent than top loaders. With concentrated HE liquid, 1 to 2 tablespoons per load is often enough. I know that sounds low. It is supposed to sound low. Too much soap creates suds, suds trap water in the dispenser drawer, and the softener siphon cannot do its job.
If you use detergent pods, put them directly into the drum before adding clothes. A pod in the dispenser often does not dissolve fully and can block the water path. Then clean the drawer and the drawer housing. Remove the drawer, rinse it in warm water, and wipe out the cavity. Run a washing machine cleaner on the tub-cleaning cycle once a month or as often as the manual recommends.
If the drawer still has standing water after all that, check the small pump filter at the bottom front of the machine. A sock or coin is more likely to be stuck there than a broken pump motor.
5. Keep the HessAir evaporative cooler on a seasonal checklist
I don't pretend to know every HessAir model, but the HessAir evaporative cooler we use follows the same rules as other evaporative coolers. It has pads, a pump, and a fan. If you skip water maintenance, it stops working.
Before each season, unplug the unit and inspect the pads. If they are stiff, dusty, or smelling musty, replace them. Clean the water tray and the pump inlet. Fill the tray with water and watch the pump. Run the water pump before the fan so the pads have a chance to get wet, then turn on the fan.
Placement matters. Evaporative coolers add moisture to the air, so they work best when there is a path for that humid air to exit through a door or window. If the unit is sealed inside a room, the humidity builds and the cooling effect drops.
At the end of the season, drain the water and store the unit dry. Leaving water in the tray during the off-season is the fastest way to create scale and mold. That is the boring maintenance that prevents an emergency purchase later.
6. Treat urgent replacement shipping as part of the fix
In March 2024, our dehumidifier failed right before a maintenance crew was scheduled to repair wall damage. The room was not ready to close up until the humidity was under control. We paid an extra $400 for next-day delivery with a confirmed time slot.
I sent the purchase order and immediately wondered if I had overpaid. Then the unit arrived the next morning and the crew started on schedule. That is when I realized the fee bought certainty, not just speed. That fee is worth it when an active project is waiting on the delivery.
That does not mean every appliance should be rushed. If the purchase can wait, standard shipping is fine. But if an outage is already costing people time, 'probably arrives on time' is too vague to plan around. Ask the supplier what they can guarantee, and include that guarantee in your decision.
A few notes before you sign the PO
Once the unit is installed, write down the serial number, model number, order date, and warranty end date. Take a photo of the nameplate and keep it in your facilities folder. Add maintenance reminders to the shared calendar before you forget why they matter.
I can only speak to the office environments I manage. If you are buying for a restaurant, warehouse, or residential building, the code requirements and maintenance schedules will be different. Adjust the checklist, and when something crosses into electrical or mechanical territory, stop and call the right person.
The most useful thing I learned is to ask one follow-up question before any order: after installation, who do we call if it breaks? If the vendor cannot answer that, the cheaper price might not save you anything. For most office appliances, downtime is expensive. Paying for clarity and support is not a luxury.
The goal is not a perfect appliance. The goal is an appliance that does not create a second problem after you install it.
